Cancellation & Refund Policy

Please read this policy carefully before confirming any booking with Aluxbound ("we," "us," "the Company"). By making a booking, you ("the Client," "you") acknowledge that you have read, understood, and agreed to the terms below.
1. How We Work
Aluxbound curates and arranges luxury travel experiences on your behalf. We do not own or operate hotels, airlines, cruise lines, yachts, private jets, tour companies, ground transportation, restaurants, or any other travel service featured in your itinerary. These services are delivered by the airlines, hotels, cruise lines, charter operators, and local partners we work with, and are booked either directly or through trusted booking networks and wholesale platforms.
We take great care in selecting every component of your journey, but since we do not operate these services ourselves, we cannot be held responsible for any act, default, or omission on the part of the hotels, airlines, cruise operators, or ground partners involved, except where caused by our own negligence in the selection or booking process.
Every booking is therefore subject to two layers of terms:
- This policy, which governs our own services, fees, and how we support you through any cancellation or disruption.
- The specific cancellation, refund, and amendment terms of the airline, hotel, cruise line, or operator providing the actual service, which we will share with you at the time of booking confirmation, and which may in some cases be more restrictive than the general framework below.
Where the two differ, the more restrictive of the two will apply to that specific component of your trip.
2. General Cancellation Framework
Unless a specific component of your booking carries its own restricted or non-refundable terms (disclosed to you separately, see Section 3), the following standard cancellation schedule applies, calculated from your scheduled date of travel:

Non-refundable components — such as certain flights, peak-season hotel rates, private charters, or event access — may be excluded from any refund regardless of when the cancellation is made, and will always be identified clearly on your invoice or booking confirmation at the time of payment.
3. How to Cancel
- All cancellation requests must be submitted in writing to our concierge team via email or through your client portal. Verbal or telephonic cancellation requests will not be accepted or actioned, though our team is always happy to discuss your situation over a call.
- A cancellation is only considered effective from the date and time we receive your written request, not from the date you first raise the intention to cancel.
- Once your request is received, we will confirm the applicable refund amount in writing before processing it, based on the schedule in Section 2 and the specific terms of the components in your itinerary.
4. Category-Specific Considerations
4.1 Flights (Scheduled & Charter)
Once a ticket is issued, its cancellation and refund terms are governed by the fare rules of the issuing airline, which may be more restrictive than the general schedule in Section 2. We will always inform you of the applicable fare conditions before ticketing.
4.2 Hotels, Resorts & Private Villas
- Rates booked as "non-refundable," "advance purchase," or under a members' rate are non-cancellable and non-amendable once confirmed, unless the property chooses to waive this.
- Rates booked as flexible or semi-flexible follow the general schedule in Section 2, unless a stricter property-specific cutoff applies.
4.3 Cruises
Cruise lines generally follow their own tiered, date-based penalty schedule, which may differ from Section 2. Cruise-specific terms will be shared as a separate annexure at the time of deposit.
4.4 Yacht Charters, Private Jets & Bespoke Experiences
These bookings often involve substantial non-refundable deposits, or full pre-payment, due to the operator's own cost structure. Terms for these bookings are issued via a dedicated charter or service agreement, which supersedes the general schedule in Section 2.
4.5 Once Travel Has Commenced
If you choose to cut short, skip, or cancel any part of your itinerary after your trip has already begun, no refund will be issued for the unused portion, as arrangements for those services have already been confirmed and paid for on your behalf.
5. Force Majeure & Unforeseen Circumstances
We recognize that travel disruptions are increasingly driven by events beyond anyone's control. This includes, but is not limited to:
- War, armed conflict, civil unrest, insurrection, or acts of terrorism
- Natural disasters (earthquakes, hurricanes, floods, volcanic activity, wildfires)
- Pandemics, epidemics, or public health emergencies
- Government-imposed travel bans, border closures, visa suspensions, or entry restrictions
- Airport, airline, or port closures; air traffic control strikes
- Labor strikes, industrial action, or supply chain disruptions
- Extreme weather events causing operational shutdowns
- Any other event officially classified by a relevant government or international authority as an emergency, crisis, or force majeure event
("Force Majeure Events")
In such cases, the following applies:
- We are not liable for loss, delay, cancellation, or an inability to deliver services arising from a Force Majeure Event, as these are outside our reasonable control.
- The standard cancellation schedule in Section 2 does not automatically apply during a Force Majeure Event. Refund eligibility instead depends on the emergency policy of the airline, hotel, or operator involved, and on any relief they choose to offer.
- We will make every reasonable effort to advocate on your behalf, requesting waivers, credits, or flexible rebooking from the relevant airline, hotel, or operator, but we cannot guarantee a specific outcome.
- Where a credit, voucher, rebooking option, or partial refund is offered in lieu of a cash refund due to a Force Majeure Event, we will pass on the same terms to you.
- Our own service fees for work already performed (planning, curation, coordination, and communication on your behalf) remain non-refundable in Force Majeure situations, as this work has already been delivered regardless of the trip's eventual outcome.
- We strongly recommend comprehensive travel insurance (see Section 7) that includes "Cancel for Any Reason" (CFAR) and emergency evacuation coverage, as this is the most reliable way to recover costs in a Force Majeure scenario.
- During an active or emerging Force Majeure Event, we reserve the right, at our discretion, to suggest itinerary changes, alternate destinations, or delayed travel dates in the interest of your safety, without this being considered a breach of our commitments to you.
6. Amendments & Date Changes
- Requests for date changes, name changes, or itinerary modifications are handled according to the specific terms attached to each booking, and may carry a change fee in addition to any difference in cost.
- We process every amendment request on a best-efforts, priority basis, though availability cannot always be guaranteed, particularly during peak season or high-demand periods.
- A separate administrative fee may apply for processing certain amendments, and will be disclosed to you before we proceed.
7. Travel Insurance (Strongly Recommended)
Given how unpredictable global travel conditions have become, we strongly recommend all clients purchase comprehensive travel insurance at the time of booking — ideally a policy that includes:
- Trip cancellation and interruption coverage
- "Cancel for Any Reason" (CFAR) add-on, where available
- Emergency medical and evacuation coverage
- Coverage for Force Majeure events, including pandemics and geopolitical disruptions, where obtainable
- Baggage, delay, and missed-connection coverage
We're happy to recommend trusted insurance providers on request. Insurance is a separate contract between you and the insurer, and we bear no responsibility for claims, denials, or coverage disputes.
8. Our Service Fees
- Planning, curation, concierge, and advisory fees charged by Aluxbound are separate from the cost of the travel services themselves, and are earned upon delivery of our planning and booking work, regardless of whether the trip ultimately proceeds.
- Our service fees are non-refundable once a booking has been confirmed, except where we are unable to deliver the contracted service due to our own error.
- Any refundable amount under Section 2 is calculated on the total trip cost excluding our service fees, unless stated otherwise on your invoice.
9. Refund Processing
- Once a cancellation is confirmed in writing, approved refunds are processed to your original payment method within 7–14 business days.
- This timeline may extend where the refund is contingent on funds being released to us by an airline, hotel, cruise line, or wholesale booking network — a process we do not control, and which can, in some cases, take up to 90 days.
- Refunds may be subject to currency conversion differences, payment gateway charges, and international transaction fees, deducted where applicable.
10. Limitation of Liability
To the fullest extent permitted by law, Aluxbound's liability in connection with any cancellation, disruption, or Force Majeure Event is limited to the service fees paid directly to us. We are not liable for consequential, indirect, or incidental damages, including loss of enjoyment, missed events, or additional costs incurred due to trip disruption.
11. Changes to This Policy
We reserve the right to update this policy at any time to reflect changes in industry standards, evolving travel conditions, or regulatory requirements. The version in effect at the time of your booking confirmation governs that specific booking. We recommend reviewing this page before each new booking.
